REDCap

The Research Electronic Data Capture (REDCap) system is a secure web platform for building and managing online databases and surveys commonly used in research settings across institutions of Higher Education. REDCap's streamlined process for rapidly creating and designing projects offers a vast array of tools that can be tailored to virtually any data collection strategy. 

REDCap provides automated export procedures for data downloads to Excel and common statistical packages (SPSS, SAS, Stata, R), as well as a built-in project calendar, a scheduling module, ad hoc reporting tools, and advanced features, such as branching logic, file uploading, and calculated fields. 
 
Baylor utilizes the Vanderbilt University – REDCap service, which is available via a fee-for-service usage model.

Availability 

Faculty and staff can visit redcap.vanderbilt.edu to access the service once an account has been created for them. To request access to REDCap, send an email to Research_Technologies@baylor.edu. The REDCap Privacy Policy should be reviewed prior to use.

Support (V)

Vendor support is provided by the Vanderbilt REDCap Service Team. Reference the REDCap User Guide for basic self-support information.

Account Access 

For access to the REDCap service, a new account will be created by the Vanderbilt REDCap Service Team. This account is separate from your BearID. Request access by emailing Research_Technologies@baylor.edu  
  
Costs 

A REDCap Project Monthly Fee applies to each individual REDCap Project associated with your research. A REDCap Project is defined as a webpage or series of webpages used for data entry, identified by a unique Project ID. The Project ID is assigned to the REDCap Project when it is created and cannot be pre‐defined or changed.  

The cost is $121 per project, per month. ($1,452 per year). There are no additional costs for users or data storage associated with a project. This rate is effective as of November 1, 2023.  

Customized programming services are available from Vanderbilt for complex research projects at a rate of $118.80 per hour. To request custom programming, you may submit a request to Research_Technologies@baylor.edu. An estimate of hours required for your custom programming needs are determined after review of your project. The Vanderbilt REDCap Service Team will provide the final estimate.

BaylorITS will bill the contact person or department using the information collected during the account request process. Billing will be invoiced monthly starting 90 days after the project is established in REDCap. 

Upon project closure, the Vanderbilt REDCap Service Team requires a 30-day notice for project inactivation and billing cycle closure.

When you use REDCap, you agree to Baylor University's Technology Usage Policy.

Yes, Baylor University has completed a contractual Business Associates Agreement (BAA) with the Vanderbilt REDCap Team to enable the storage of HIPAA-covered data or ePHI.

The current Vanderbilt-hosted REDCap platform does not allow for text messaging. Email messaging is available for Baylor University users.

Yes, a REDCap Mobile App is available for use with the service. Review the REDCap Mobile App User Guide for more information.

Yes, the cost is $117.70 per project, per month. No minimum project duration is required and you may discontinue the service at any time with a 30-day notice. BaylorITS will bill the department or researcher once annually, depending on how the funding determination is completed during account setup.

REDCap is a neutral data collection system, able to collect any type of data for just about any purpose. It is often used for IRB-approved research studies involving electronic consent methods. REDCap can implement whatever consent language you and the Baylor University IRB deem appropriate - including e-consent.

Yes, you can cite REDCap in publications where REDCap was used for data collection or data management. The REDCap consortium provides information on its Citation page (https://www.project-redcap.org/resources/citations/) for language that may be inserted into a publication.
